Photography and filming
16 Learning through film
We use VEO and other video tools to help coaches review football and support player development. Filming may form part of training and matches. We explain this before participation and tell opposing clubs before filming fixtures. We follow applicable competition and venue rules and consider legitimate concerns from either team.
Routine coaching footage is used for coaching and development. We will assess and record whether legitimate interests is an appropriate lawful basis, considering necessity, less intrusive alternatives and children’s rights. We will explain the basis in our Privacy Notice before using it. Accepting these terms is not blanket consent to every use of an image.
Please tell us about an objection or safeguarding concern before the activity wherever possible. We will offer a route to opt out of filming and discuss practical arrangements, including camera positioning, editing, restricted sharing or other appropriate adjustments. Where these cannot address a serious concern, we will change or stop the filming. We will not automatically exclude a child because a concern has been raised.
Access to coaching recordings is limited to authorised club staff and, where appropriate for the purpose, relevant players and families through controlled team access. Access for an opponent or another organisation requires a legitimate purpose and appropriate safeguards. Coaching footage will not be made publicly available by default. Recipients must not download, repost or pass it on without club authorisation and the appropriate permissions.
We use footage to support learning, with analysis suited to the players’ age and level. It must not be used to humiliate children or invite public criticism of their performance. Recording is not a guarantee of individual analysis for every player.
Sharing club life
We celebrate football through carefully selected photographs and short clips on our website and official social channels. We ask separately for written parental permission for identifiable promotional images and consider the player’s own wishes and understanding. Declining promotional permission will not affect the child’s place. An image recorded for coaching will not be reused for promotion unless the relevant permission covers that use.
We avoid sensitive, embarrassing or inappropriate images. Children must be suitably dressed; filming is not permitted in changing rooms, showers or toilets. We will not publish full names alongside images without specific permission or disclose medical information, private contact details or sensitive identifying information. We will not tag children’s personal accounts.
You may withdraw promotional permission by contacting Admin. We will stop new use and take reasonable steps to remove the image from channels we control. We cannot guarantee recall of printed material or copies independently shared by others, but will respond to concerns promptly. Parents should not post identifiable images of other children without the appropriate permission.
Storing images responsibly
Coaching footage is normally deleted within 12 months of recording, unless a specific reason justifies longer retention, such as a safeguarding matter, insurance claim or a carefully selected development record. Longer retention must be recorded and reviewed. Selected promotional images are reviewed at least annually and removed when no longer needed or when applicable permission is withdrawn. Club access controls and secure accounts apply to image storage.
